Enquiry form

Your own enquiry form, and an inbox for it.

A link for your website and the side of your van. Each request lands in the office, and one press makes it a customer, a job or a quote.

Your form, on your own link

The form is offline until you press Put the form online in Settings under Enquiry form. Its Link name starts as one made from your business name, and you can change it.

The page is headed with your business name, and with your phone and email where you have them. Search engines are told not to list it.

Changing the Link name asks you first, as the old link then stops working. Take the form offline keeps the name for when the form goes back online.

What the form asks

The person enquiring gives their name, an email or a phone number, the address with a box for the postcode, and what they need.

A tick for news and offers is kept with the date it was given. It passes to whichever customer the enquiry goes to, unless that customer has said otherwise since.

The person also picks what the enquiry is about, from five choices:

  • A service
  • A repair or breakdown
  • A new installation
  • A price for work
  • Something else

Answered from the office inbox

Each enquiry notifies every administrator. Enquiries is in the menu while your form is online.

Waiting lists the oldest first. Answered shows what each enquiry became, and its record names who answered it and on what day.

Where a waiting enquiry has the email, phone number or address of a customer you have, one such customer is chosen already under Who it is for. A new customer is the other choice. Nothing is merged.

Made into work, or closed

On a waiting enquiry, Make a job, Make a quote and Add as a customer each take one press. A new customer is made with a site at the address on the enquiry, and Domestic as their Customer type. For a customer you already have, their site at that address is used, or a new one is added there.

On a job, what the person wrote is under What was wrong. On a quote, it is under For. The office then opens on what was made.

Close takes an enquiry out of Waiting, for spam, work you do not do or one already sorted by phone. Reopen puts a closed one back in Waiting.

Asked for from a service reminder

While your form is online, each service reminder email has a button to ask for a visit. The button opens the form filled in with the name and contact details of the person the email went to, and the appliance that is due with its address.

Every box can still be changed before sending. The enquiry arrives already naming the customer, the site and the appliance, and a job or a quote made from it goes on that site.

The details are read each time the form opens, so any change the office has made shows there. If the appliance, the site or the customer has been archived since the email, the form opens empty and still takes the enquiry.

The email back, and how long enquiries are kept

Whoever gives an email address gets an email in your business name. The email says you have their enquiry, what it is about and where. Nothing else they typed is in it. An address gets one of these a day at most.

Past the daily limits on these emails, only the email is skipped, and the enquiry is still kept. A reply to the email reaches you once the address under Customer replies is Confirmed.

A waiting or closed enquiry is deleted twelve months after it arrived. One made into a customer, a job or a quote is kept under Answered with the rest of your records.

Questions, answered.

Can I add the enquiry form to my own website?
Yes, as a link to the form’s own page. Copy link in Settings under Enquiry form copies it, ready for a button on your site.
Can I add my own questions to the form?
No. The questions are fixed. Anything more the person wants to say goes in the box for what they need.
Can a customer book a time through the form?
No. The form asks for the work and never books a time, including when it opens from a service reminder. The office books the visit on the job made from the enquiry.
Will the inbox fill up with spam?
The form has two checks against robots. The first is a box that people never see, and anything sent with it filled in is not kept. The second runs before any enquiry is stored.
Is the enquiry form extra?
No. The form and its inbox come with every plan.
