Switching from Jobber

Jobber’s CSV files, read column by column.

There is no ready-made Jobber layout. Each file comes in as any other spreadsheet, and you see which column became which field before anything is saved.

The Jobber client list

Jobber emails its client list as a CSV file. It comes in through Import, in Settings, as Customers from Another spreadsheet. Each column is matched to a field by its name where the import knows the name, and the one field every row must fill is Customer name.

Jobber’s export marks each client TRUE or FALSE in an Archived column and an Is Company? column. A client marked TRUE under Archived is left out and counted. The Is Company? column is not read. Each new customer takes the choice made under What are most of these?, Households or Businesses, unless a column matched as Business or private says otherwise.

  • A Customer, Client, Company or Name column as the customer’s name
  • First name and last name columns joined into the contact’s name
  • An email and a phone number for the contact
  • Street and city, with a county, state or province column as the county
  • A postcode, postal code or zip column as the postcode
  • England, Scotland or Wales given as the country, read as the United Kingdom, with the nation not kept and counted
  • A VAT number
  • A customer on several rows, one for each address, filed once with each address as a site

The products and services list

Jobber exports its products and services list as a CSV file too. It comes in as Parts, each column matched by name. A part with no code in the file is given one.

A price is read as excluding VAT unless its column is matched as Price, including VAT, or a column matched as Price includes VAT says yes on that row. VAT is taken off such a price only when you are registered for VAT, at the row’s own rate or else the one chosen under VAT the prices include.

A blank or zero price is set at the cost plus Markup on cost where the price is blank. Such a row is not brought in unless it has a cost above zero and a markup is set. Where a column matched as VAT rate gives 5%, the rate is left for each job to decide. Zero-rated and exempt parts are filed as the file says.

Matches you can change

Which column is which puts each field beside a list of your columns, each shown with the first row’s value where it has one. Beside the heading, a line counts the columns used and names the ones that are not.

After a match is changed, Check again runs the whole file again, and Bring it in waits until it has. The check runs the same rules as the real thing and then undoes them.

What this would do counts every row as new, added to a customer already here, already here, archived or not brought in. Each row not brought in says why, and those rows are listed first.

What your customers still owe

Jobber can email a report as a CSV file. A file of invoices still unpaid comes in as Open balances once four columns are matched: the customer, the invoice number, the invoice date and the amount still owed including VAT. Each customer must already be in your book.

Dates are read day first, as in 30/06/2026, or as 2026-06-30. A date whose month is a word, such as 30 Jun 2026, is not read, and that row says why. Before anything is saved, each row to be brought in is listed with its amount and its two dates written out, so a date read the wrong way round shows. Where no due date is given, the customer’s payment terms, or else yours, count from the invoice date.

Nothing is emailed as the rows come in. While Chase an unpaid invoice is on, an invoice already overdue gets one email in place of the reminders it missed, then the rest as any other invoice does.

Principal contractors and registrations

A text custom field on a Jobber client comes out as a column of its own. Where such a column is matched as Classification and says Principal contractor or Main contractor, a new customer’s type is Principal contractor. In the UK a customer of that type may come in without a VAT number, and is then not reverse charged.

No Jobber file carries a registration, and the import has no place for one. Each engineer’s Gas Safe registration goes on that engineer’s page, and the firm’s NICEIC or NAPIT registration goes under Registrations in Settings. Either one covers the electrical pack’s rewire, consumer unit replacement and periodic inspection.

A booking the registration does not cover, because it is missing or has run out, brings a warning or is refused, as set under Booking someone not certified for the work. Its third choice, Don’t check, checks nothing.

Questions, answered.

Do my Jobber jobs, quotes and invoices come across?
No. Jobs, visits, quotes and paid invoices stay in Jobber. What comes across is customers, parts, labour rates and the invoices still owed, plus appliances where a kind of work you do covers them.
Are Jobber’s tags and custom fields brought in?
No. Tags and Jobber’s J-ID column match no field, so they are listed as not used. A custom field comes in where its column name is one the import knows, such as VAT Number, or where you match its column by hand.
Can I keep using Jobber while I move?
Yes. Nothing in the office connects to Jobber, and the import reads only the files you bring in. A later export adds the customers, addresses, contacts, parts and balances that are new. It changes no customer’s name or type, no part’s price and no invoice already in the office. A balance brought in and then paid in Jobber stays owed in the office, and can still be chased, until Record a payment is used on it.
Jobber sent my client list as several files. Can each one come in?
Yes. Jobber splits a large client export into files of up to 1,500 rows, and each file is checked and brought in on its own. The import takes at most 2,000 rows, 480 KB and 60 columns a file, and a wide export can reach 480 KB first. A file over the row or size limit is refused before it is sent, and one over the column limit as it arrives. Each refusal names the limit.
Do Jobber’s reminder and follow-up settings come across?
No. Jobber’s columns for automatic visit reminders and follow-ups match no field, so they are listed as not used. Each new customer comes in with Appointment and reminder emails and Chase late invoices switched on, and either can be switched off on that customer’s page.
