Switching from Tradify

Your Tradify customers and price list, brought in.

Each export is read by its own column names. You see which column is which, and what every row would do, before anything is saved.

The Tradify customer export

Import, in Settings, has a Tradify layout for the customer export. A file without the columns that export always has is refused, and the refusal names what is missing.

  • Customer Name, Contact Name and Email Address
  • Street, city, region, postcode and country from the physical address
  • A whole address in the street cell, with the city blank, split into line, town, county and postcode
  • Archived customers left out
  • Postal address, fax number, custom fields, pricing level and document theme left out

The Tradify price list

Parts has a Tradify layout for the price list too. A row whose Standard column is blank is priced at its Buy Price plus the markup you set for the file. A part with no price and no markup is refused, never filed at zero.

  • Item Code, Description, Unit Of Measure and Category
  • Standard as the selling price
  • Buy Price as what the part costs you, with zero filed as not costed
  • Includes Tax and Sales Tax Rate, to take VAT off a price that includes it when you are registered for VAT
  • Archived items left out

What the check shows

Check this file shows Which column is which, with each column’s first value beside it. Any match can be changed.

What this would do counts every row in the file. Each listed row is marked New, Added to an existing customer, Already here, Archived or Not brought in, and a row not brought in says why. Up to 500 rows are listed, those not brought in first.

How the file was read counts each kind of value worked out or left out, such as addresses split from one cell, with the first row and an example of each. Nothing is written until Bring it in is pressed.

Labour rates, open balances and appliances

None of the three has a Tradify layout. Each comes in from any spreadsheet saved as CSV. Every column is guessed from its name, and any guess can be changed.

Open balances are the invoices still owed on the day you move. Each row becomes a sent invoice under its own number and date, and its customer must already be in your book. Nothing is emailed as the rows come in. While Chase an unpaid invoice is on, an invoice already overdue is chased once for the reminders it missed. Its later reminders go out as for any other invoice.

Where your work includes appliances, each appliance comes in at its customer’s address. Its next service date is taken from the file, or worked out from when it was last serviced. While Remind a customer a service is due is on, an email goes out before each service, naming the appliance. While your enquiry form is Online, that email has a button to ask for a visit.

UK VAT and registration checks

UK VAT at 20%, 5% and zero is in place from the day you sign up.

A kind of work can name the registration needed for it, such as Gas Safe for gas work. For a rewire it is NICEIC or NAPIT, and either is met by your business’s own registration. Each booking is checked as it is made. Where a registration the work needs is missing or has run out, you are warned or the booking is refused, as you choose.

Questions, answered.

Do my jobs, quotes and paid invoices come across?
No. Customers, parts, labour rates and open balances come in, and appliances where your work includes them. Jobs, quotes and paid invoices do not.
Can I run it beside Tradify for a while?
Yes. The import reads only the files you bring in and never connects to your Tradify account. Customers and prices can come in on the first day, while open jobs finish where they started.
Will bringing a file in twice make duplicates?
No. A customer already in your book is matched on the email, the phone number, the address or the name alone, and the report says which. A part is matched on its code, or on its name where the row has no code. A part already in your book is left as it is, price included. An appliance is matched on its serial at that address, or row for row on kind, make and model where it has none.
Can I bring in an Excel file?
Yes, once it is saved as CSV. An Excel workbook itself is refused. Up to 2,000 rows and 480 KB go in at a time.
What happens to a customer with both a mobile and a phone number?
One number is filed for each customer. Mobile Number is kept, and Phone Number is used only where Mobile Number is blank. Where the two differ, Phone Number is left out. How the file was read counts both cases.
Is importing from Tradify on every plan?
Yes. Importing from Tradify, ServiceM8 or a spreadsheet is on every plan.
