Built around the work.

Six-monthly services, a year ahead.

BS 5839-1 has a fire alarm serviced about every six months. Repeat this job at Every 6 months books a year of them, each keeping the first job’s purchase order number for its own invoice.

Head office pays for every premises.

Each premises of a Commercial customer or Managing agent is a site with its postcode. The Accounts contact gets the invoices and statements. A contact kept at one site is never emailed about another’s appliances.

Panels, lights and extinguishers, on record.

A Fire alarm panel keeps its system, such as addressable, and its zones. Emergency lighting keeps its rated duration and number of fittings. A Fire extinguisher keeps its type, such as CO2, and its size.

An emergency light’s duration, in minutes.

A duration Reading in minutes, with pass and fail Answers and a Lowest of 180, marks a light that runs out sooner as a fail.

A firmware update is a modification.

BS 5839-1:2025 treats updating a fire alarm panel’s firmware as a modification, which needs its own certificate. The yearly service now also tests smoke detectors in ventilation ducts.

Questions, answered.

Does a fire alarm panel get a service date?
No. A Fire alarm panel owes no dated service, and the office cannot add one, so no service-due email goes for it.
Is a service-due email sent when the next visit is already booked?
Not while a job that repeats has a visit booked at the site, for any day up to three weeks after the due date. The email about an extinguisher or emergency lighting there waits while that visit stays booked. It goes after that unless a sheet signed off against that appliance has moved its date. One sheet moves one appliance. A visit on a one-off job does not hold the email.
Does it track the five-yearly extended service on extinguishers?
No. BS 5306-3 asks for an extended service on water, foam and powder extinguishers every five years, and an overhaul of CO2 ones every ten. Neither is dated, so no email goes for them.
Does it produce BS 5839-1 or BS 5266-1 certificates?
No. There is no certificate template. A kind of work such as the fire alarm service can require a sheet you build, and a missing one can hold up Completing the job or The invoice email.
Can I bring in my extinguisher register and see what is due?
Yes. A spreadsheet comes in under Import as Appliances, one extinguisher to a row, at sites already on file. Rows with no serial are matched row for row on kind, make and model, so twenty identical rows are twenty extinguishers, and the same file brought in again adds none. On Appliances, Due soon lists the next sixty days, overdue included, and Any kind can be narrowed to Fire extinguisher.
