Boilers and gas fires

The boiler, its readings and its next service.

Each gas fire is kept at its address with its fuel and its flue: open, balanced, power or flueless.

Built around the work.

A failed reading is a finding.

The gas service record takes a CO/CO₂ ratio for each appliance. A ratio over 0.0040 fails, and a dangerous finding is filed at the address. Every administrator is told at once.

The analyser beside the reading.

On the gas service record, the analyser that took the readings is picked from your Test instruments, with the date its calibration then ran to. Administrators are told thirty days before a calibration runs out.

Gas appliances notified through Gas Safe.

In England and Wales, only a Gas Safe registered business can notify building control of a gas appliance it fits. Add a certificate records the compliance certificate’s number and refuses one already recorded.

A boiler’s GC number on file.

A boiler keeps its make, model, serial, GC number and output in kW. It also records whether it is combi, system or regular, room sealed or open flue, and natural gas or LPG.

Your service book, from a spreadsheet.

Appliances import from a spreadsheet with the address, make, model, serial and next service date. Each row names a customer already on file. Given only the last service, the next date is counted from it.

Questions, answered.

Does it produce a CP12 or landlord gas safety record?
No. There is no template for either. You build your own sheets, and a gas service record is set up for you. The Certificates and sheets export holds every signed sheet as a file.
Does it send reminders when a gas safety check is due?
Not for the check itself, which has no date of its own. The reminder is for the annual service on a boiler or gas fire. While your enquiry form is online, that email carries a button to ask for a visit. The request comes to the office, where the visit is booked.
Does it look engineers up on the Gas Safe Register?
No. The booking check reads the Gas Safe registration and expiry date you record for each engineer. A missing or lapsed one warns by default. Where Refuse the booking is chosen under What technicians can do in Settings, the booking is refused. Administrators are emailed thirty days before a registration runs out.
Can one letting agent hold many properties?
Yes. A customer’s type can be Landlord or Managing agent, and any customer can hold many sites. Each site keeps its own postcode and appliances, and each service email names the appliance and its address. For either type, its own contacts tied to no address come first for that email, then the people at the house.
Can it tell customers when a boiler’s warranty runs out?
Yes. A boiler keeps a Warranty runs to date for its manufacturer’s cover. Three weeks before the cover ends, the customer is emailed the appliance, the address and the end date. The email says there is nothing to book and nothing owed. Signing a sheet never moves the warranty date.
