Built around the work.

A landlord’s houses, one customer.

A Landlord or Managing agent is one customer with a site for each house, each with its postcode. Jobs here on a site opens the jobs done at that house.

The tenant hears about the visit.

Visit emails go to the house’s Occupier with an email, such as a tenant, else to the customer. A visit booked in the office never emails a tenant at another house. Invoices go by default to the Accounts contact.

An hour for a door, two for flat-pack.

Each kind of work Usually takes its own length: door easing an hour, TV wall mounting ninety minutes, flat-pack assembly two hours. With Book it now on, the New job sheet offers the next free times that long.

Hours at each person’s own rate.

The kinds of work start Billed as Time and materials, so a job with no quote bills its hours and the parts fitted. Each hour is billed at its worker’s Charged out at rate for that day. Travel has its own line.

Not VAT-registered, and the invoice says so.

A business not registered for VAT sends quotes and invoices with no VAT, each saying so. Register for VAT under Tax in Settings takes HMRC’s date. Invoices already issued do not change.

Questions, answered.

Can one visit cover several small jobs?
At one address for one customer, yes, as one job. A job holds at most one Kind of work, such as odd jobs, and any number of hours, parts and expenses. A visit belongs to one job, so work at a second address, or for a second customer, is a job and a visit of its own.
What happens when a letting agent loses a house?
Move this site names the new customer under Who pays for work here now, and the house goes to them with everything installed at it. Open jobs there stay with the old customer, and so do that customer’s contacts, the tenant included.
Can it hold my public liability policy for agents who ask?
Yes. Under Insurance in Settings, a Public liability policy keeps its number, insurer, cover and the date it Runs out on. Administrators are warned thirty days before that date.
Can a tenant book the visit online?
No. Visits are booked in the office. The visit email links to a page for asking for another day, and the ask comes to the office to answer.
Are blinds and small repairs for a contractor CIS work?
Repairs to the building and decorating done for a contractor are inside CIS. Putting up blinds, curtains and their fittings is outside it (Finance Act 2004, s.74(3)(h)), and so is mending a building’s pipes or wiring on its own. The curtain pole and blind fitting kind of work has Construction work unticked, so its invoices are never reverse charged and no CIS is recorded on them.
